Salary: $25.00 Hourly
Job Type: Full-Time & Permanent (30 Hours Weekly)
Language: English

Experience: Previous work experience is considered an asset. No specific work experience required.
Start date of employment: As soon as possible
Minimum Education: Successful completion of Secondary (high school) is required

Job Description:
– Greet clients and visitors and ask them about the nature of business or direct them to accountant or appropriate staff member;
– Prepare, key in, edit and proofread invoices, client correspondence & letters, and various reports and submit the same for review by business managers before it is sent to clients;
– Responsible for looking after day-to-day business activities and ensure adherence office procedures;
– Review any documents, letters and correspondence received and file the same following appropriate office procedures;
– Schedule and confirm appointments and meetings of clients with accountant;
– Provide administrative support to accountant, managers and other staff members of the firm;
– Order supplies for office, contact maintenance contractors, information technology contractors etc., as and when required;
– Perform basic bookkeeping tasks;
– Answer phone calls, relay appropriate updates and/or information and reply to general e-mails received.
– File, organize and maintain all correspondence pertaining to firm’s clients are in computerized system as well as in manual files as per predefined office procedures;
– Attend meetings, make notes and prepare meeting minutes for future reference;
– Administer and manage inbound/outbound mail, including priority post, packages, courier services, and any other correspondence;
– Arrange travel for accountant and other staff members and make reservations, when required;
– Develop, prepare and monitor appropriate bi-weekly and monthly office reports using computerized systems
– Perform any other relevant job duties as instructed by business managers
