Job Description:

– Greet visitors coming in the office and ascertain their needs & nature of business and direct them to appropriate person
– Prepare, type, edit and proofread client correspondence, invoices, correspondence to be sent to banks and any other information of office records
– Open and distribute incoming mails, check company’s general e-mail box and ensure that all relevant correspondence received in the office by physical mail or e-mails is filed properly as per procedures
– Perform data entry using computerized systems to enter client relevant information
– Schedule and confirm appointments of Brokers
– Ensure that required office supplies are maintained and order supplies when required
– Answer telephone calls, respond to e-mails and other correspondence as per broker’s instructions and ensure that relevant information is passed on to the brokers and other staff members in a timely manner
– Ensure that proper procedures are followed while using computerized files management system
– Ensure proper office procedures are followed
– Attend meetings when instructed and prepare minutes of meetings
– Perform basic bookkeeping tasks
– Train other staff members or newly hired staff in office procedures and with the use of computerized information systems and CRM software, when required
– Provide ongoing support and information to clients, collect relevant information and documents from them
– Scanning, printing, photocopying documents and maintain company’s database
– Ensure that appropriate client documents are saved properly in computerized information system
– Perform any other relevant tasks and duties as per management’s instructions
